What’s the right fit for my company?
In our last blog post, we already showed you the operating options for EDI and the selection between a cloud or suite solution. That’s why today’s blog post will focus on the operating options for e-Invoicing.
Companies face numerous new challenges on a daily basis. For this reason, many business departments often rely on the IT department and the implementation of various requirements as quickly as possible. However, since most IT departments are very busy these days, such requirements often cannot be met as quickly as desired. This is particularly infuriating when a request from the business department only benefits the company, but no resources are available to implement it.
To prevent such problems, it is a good idea to find an experienced partner for such cases. This is because a business integration team usually operates based on legal and clearly defined requirements that must be followed, such as legislation, content or technical specifications, or widely used standards. A partner whose main task is to quickly adapt to such requirements can thus act faster than a busy IT department.
In addition, specifications can be met and workflows can also be optimized by using standardized software. With such software, development, support, maintenance, and proper operation are in the hands of the respective partner. An example of this is the INPOSIA Suite, our platform for all integration tasks, which serves as a link between different systems because data is not homogeneous and different systems speak different languages. Thus, our middleware builds a bridge between all your systems and lets them communicate with each other in a uniform way. Within the INPOSIA Suite, various modules can be combined with each other, and additional modules can be added at any time, such as WebEDI, e-invoicing, data sourcing, API management, and many more.
By choosing such software from a partner, you save yourself a lot of future effort by being able to easily add or remove additional components as your needs expand. Moreover, with the help of our Workflow Manager, Data Converter or Communication Manager, your business processes can be further optimized, allowing even more freedom for greater efficiency.
However, if you also do not want to carry out the implementation and technical operation in your own data center, you can use our INPOSIA Suite in managed service mode and reduce your personal effort even further to further relieve the IT department.
One example of such standardized services is e-invoicing. The challenge here is to deal with many different country- or industry-specific and company-specific formats, which significantly increases the complexity of the process. In our graphic below, you can see examples of the different building blocks that can occur in the context of e-invoicing processes. Different operating options can be selected for conversion and communication with the partner.
Depending on which operating option you choose, you can save considerable effort and additionally benefit from the expertise of an experienced partner.
Another example of standardized services is WebEDI. For companies that do not have their own EDI capacities available, customers and business partners can use a web interface to read and download orders and company data in various formats. Follow-up documents, such as delivery bills, invoices, or order confirmations, can also be generated without much effort, which also significantly reduces the processing time and the error rate during the process.
A customer can operate a WebEDI solution completely automatically and independently determine which information is mandatory in the input mask. This ensures high data quality and a high degree of automation. Here, similar to e-invoicing, various operating options can also be selected according to the effort.
In conclusion, each company must independently find the best solution for its own requirements and circumstances, whereby cooperation with an experienced partner brings many advantages with it, as the right partner should be able to correctly assess the integration needs of each company intuitively and thus provide decisive input based on its own experience. However, the choice for standardized software or standardized services can also provide further advantages, as this can minimize a significant portion of the effort, thus creating more free space that the respective teams can invest in their own company projects.
